O365: Create a SharePoint List-On-Line

O365: Create a SharePoint List-On-Line What is a List? Viewed through a browser a SharePoint on-line List looks very much like a SharePoint on-line Library. However, where the library is a place to store a file, along with any metadata which describes the file a list is a place to store simple data. The data stored can be used as information, can be used as metadata across the site or can be manipulated to present different aspects of the information. In this sense a SharePoint on-line list can be compared to a spreadsheet, or a view of the contents of a database.  A word of caution here, SharePoint on-line lists and libraries are effectively limited in content to 5000 rows. If it is anticipated that the row count of a list is likely to approach this number, it would be appropriate to split the list in to two or more separate lists, create a list which utilizes metadata indexing to filter searching or create a list which reads data from an external database on demand. These three o...

O365: Create a SharePoint-On-Line Library

O365 is a tremendous resource. It can serve a business better when SharePoint on-line libraries are used as a repository for files and documents on which collaboration is required.  Instead of circulating documents for input by different users, simply save them to a SharePoint library where selected personnel can access them for update. Creating a library is a simple process which needs no technical expertise greater than the ability to use a computer. For this exercise we will create and start to populate a library for storing invoice documents.  Select the Site  An O365 domain can contain many sites. Libraries and Lists within a site can be made to interact with one another so data can be readily shared across the site and recycled. For example, if we choose to create a Customer List within a site and we populate the list with customer names and addresses we can allow other libraries and lists within the site to access and use the name and address data. So, the first jo...

The New Computer Age: Office 365 Should Never be Compared to Google Apps or Dropbox.

Differences in File Storage Office 365 with SharePoint on-line should never be compared to Dropbox, Google Apps, Google Docs, Amazon cloud offerings or Microsoft OneDrive Live. These are good products and competitive in the market place they serve, but they are just cloud storage. They all store files off-site in an NTFS type file store. SharePoint on-line stores files in a SQL database delivering huge advantages in security, file grouping, file analysis and file location. What does this mean in practice ? – If you consider a standard NTFS file storage system such as you would find on any computer .     When you create and save a file you are prompted to give the file a name so that you can find it again when it is needed. Most modern software will also be configured to save the file to a default location such as ‘documents’ or ‘my documents’. You can elect to modify the location by creating new sub-folders within the ‘documents’ fol...
