O365: The Advantages of Teams and SharePoint for Business

Business and management are stressful enough without having to worry about where to store or file a communication, or worse still trying to remember where you stored the communications you had last week.

It gets worse when you are part of a team and you need to know where everyone else is filing relative data.

How long does it take to message or email a colleague to ask if they know who said what to a customer yesterday, or last month?
How long does it take to get your reply?

It's not difficult to ensure that all communication is captured and catalogued to make sure that every team member has the full and current picture.

Store and Catalogue Using Office 365

  1. Data can be stored in SharePoint Lists. These are simple to create and use.
  2. Documents can be stored in SharePoint Libraries. Providing fast, secure access to communication
  3. Data from SharePoint Lists can be linked to SharePoint Libraries to ensure accurate data usage.
  4. Documents and data can be uploaded to Office 365 to make sure that everyone had the latest information at all times.
  5. Deploy List and Library View pages in Teams to focus both team and individual effort on maximum achievement.

Manage Security Simply and Effectively

Document access is handled at file owner level with options to leave unshared, share with view only or share with edit rights.
Adding users to a Team grants general access rights to items in Team libraries, but these can be overridden where necessary.
Last modified by user ID is always recorded and versioning means that document files can be rolled back to previous versions where necessary.

Powerful Workflow Management

Administrators and supervisors can see who last updated an item and when this was done. Well structured Lists and Libraries will also show how long an item has been with the current owner.
GDPR, PECR and data protection is also accommodated with visibility on item creation date and time, plus the facility to set full 'time - to - live' policies at List and Library level.

Find it when you need it.

Use SharePoint search when you need to locate a document or file. So easy to know what a customer or client has been offered or promised when all the data is there at your finger tips. Works on mobile devices too.

Let's assume you are running Office 365 and you may even have Teams launched. You need to provide your users with access to a table of data, the sort of thing that has traditionally been circulated in spreadsheet format. Only now, you have SharePoint Lists as well.  So, which is the best way to store, maintain and distribute the data? In both apps you can sort and filter the rows and columns, you can add new columns that read original columns and perform arithmetic, mathematical, statistical and text manipulation on the content of the original. The New Computer Age: Infrastructure and the cloud

Most business managers don’t know it but this is very close to the truth. IT teams across the world live in day to day hope that their servers and networks hold together and pray that the disaster recovery schemes will be adequate in the event of catastrophe. IT people are highly professional and, of course, their server networks do deliver. Massive and expensive failure is surprisingly rare, provided that the IT department gets what the IT department needs in terms of budget. But, where budget is restricted, where the IT manager fails to make the business case for upgrade, then performance and security start to become threatened. In addition, a complex IT infrastructure brings with it the penalties of restrictive practise where a department head can’t get the software, services or technology required for a lean department because what is needed will not fit with the current IT infrastructure. So, what’s the answer? Sole Trader - Read more SME - Read more En...

Knowledge - The Ultimate Resource

Knowledge – the ultimate resource? I can’t argue with that. As a writer I’m in the business of providing knowledgebase elements. I take my own experience and that of others, I then turn it into some form of written document that may be understood and acted upon by the intended audience. Quote from Wikipedia - Human-readable knowledge bases are designed to allow people to retrieve and use the knowledge they contain, primarily for training purposes. They are commonly used to capture explicit knowledge of an organization, including troubleshooting, articles, white papers, user manuals and others. The primary benefit of such a knowledge base is to provide a means to discover solutions to problems that have known solutions which can be re-applied by others, less experienced in the problem area. · The most important aspect of a knowledge base is the quality of information it contains. The best knowledge bases have carefully written articles that are kept up to date, an excellent information ...
